All media agencies set-up in CARIA must have a group structure in place. The group structure controls what clients and client / bookings an individual buyers can see.
For many agencies only one group exists and all users have access to all clients.
Agency users with admin rights can set-up clients and users for their agency. If their agency only has one group in place, all new clients will be auto-added to the group and no group management is required.
For agencies where more than one group exists all new users and clients will need to be manually added to the relevant group.
You can follow these steps to add new users or clients to groups (see screenshots below):

- Once your new client or user has been created go to the “Admin” page
- Click on “Manage” within the Groups box
- Click on the relevant group you wish to add your new client or user to
- For clients go to the “Assign clients to group” section and move clients from “All Clients” to “Selected Clients”. You can also remove clients from groups by moving clients from “Selected Clients” to “All Clients”
- For users you can move users from “All Users” to either “Users”, “Managers” and “Supervisors” which role a user requires depends on what actions they will be carrying out in CARIA. See below for details on roles.
- Once your new user or client has been allocated to the relevant section with the group press “Save”
CARIA users can perform different tasks within CARIA, what users can do within CARIA is managed by their group structure access. Group roles vary can by agency but a general overview is as follows:
- Users: Can create CARIA bookings but not send them
- Managers: Can create CARIA bookings and send them (default role for all new users)
- Supervisors: Role that can be adapted to carry out some non-BAU administrative functions
